Submission Instructions:

  1. If you have not submitted an abstract through the system, then Log in to the ASDM HUB Submission System to submit your abstract. New ASDM HUB Submission System Users? Sign up here. If you forgot your password? Reset here.
  2. If you have submitted an abstract, then log in to find your submission “Paper ID”. Please DO NOT create a new submission system ID. Use your original and accepted paper submission ID.
  3. Following the peer-review process, a decision will be communicated to the author(s). Upon receiving a positive decision, authors can submit their optional full papers to the system. The recommended page size of full papers is 6 pages  with a maximum of 10 pages, including all paper components such as references, appendices, acknowledgements,…etc.
  4. Follow the ASDM Full Paper Submission Instructions and paper preparation format exactly to avoid delays. Papers formatted improperly will be returned to the author(s). A signed “Consent to Publish” form (Copyright Transfer Agreement) must be uploaded and submitted (PDF format) during the full paper submission process, Consent to Publish File Name Format (Consent_primary author lastname_firstname_PaperID.pdf). Full papers must be submitted using a Microsoft word document file format (DOC, DOCX). The paper File Name Format should be: primary author lastname_firstname_PaperID.doc (example, Smarandache_David_111.doc).

Registration Regulation:

 

All presenters, regardless of the mode of presentation (verbal or poster), are invited to prepare full papers for the Conference Proceedings (Optional). Co-authors may appear on multiple papers. However, to provide a greater opportunity for more people to present at the Conference, each accepted paper should have a different conference registrant.

Guidelines for Preparing (Full papers) for the ASDM Conference Proceedings:

Instructions: login to the submission system using your author credentials (once abstract decision is made) and download the paper preparation template and the consent to publish form, both files will be available in your author account under “Camera-ready submission”. If you have problems accessing the system or downloading the files, then send the conference administration at: admin@asdmhub.org

Your camera ready paper must be saved in Microsoft Word Document file format (.doc, .docx), with Paper File Name Format (primary author lastname_firstname_PaperID.doc) and submitted to the ASDM HUB Submission System.

Consent to Publish (Copyright Transfer Agreement): Download, Complete, Print, Sign then scan the signed consent to publish form. Upload the file saved in acrobat PDF file during camera ready (full paper) submission. Consent to Publish File Name Format (Consent_primary author lastname_firstname_PaperID.pdf). One author may sign on behalf of all the other authors of a particular paper.

Instructions for Preparing and Uploading Presentation Files for the On-site Conference Program :

Guidelines for Paper Presentations:

  1. Login to the submission system and access the author console.
  2. Select “+Submit Presentation Files”.
  3. Follow the prompts to upload the following three files directly into the system:
  • PowerPoint presentation slides (.PPSX)
  • PDF proof of the presentation slides (.PDF)
  • Presentation screen recording (MP4 format)  

Guidelines for Poster Demonstrations:

  1. PowerPoint Presentation Slides (.PPSX): We recommend a maximum of 5 slides per poster demonstration.
  2. PDF Proof of Presentation Slides (.PDF): Submit a PDF version of your PowerPoint slides for verification and consistency.
  3. Presentation Screen Recording (Audio/Video) in MP4 Format:
  • The presentation duration should be approximately 5 minutes.
  • Record your slideshow with audio narration using Microsoft PowerPoint Slide Show format (.PPSX) and convert it to .MP4 format.
  • If your MP4 file exceeds 80 MB, click here to compress or reduce the file size.

Webcam Usage for Presentations:

Using a webcam for recording your presentation or demonstration is optional but highly recommended. It helps create professional, high-quality presentations by providing visual “cues” and enhancing the speaker’s engagement with the audience.

Tips for Optimal Webcam Use:

  • Adjust the webcam to eye level for a more natural presentation.
  • Ensure proper framing of the presenter within the camera view.
  • Use adequate lighting to create a clear and professional background.

Why we request All Presenters to Upload their Presentation Files:

We kindly ask all presenters, whether attending in person or virtually, to upload their recorded presentations (10 minutes for parallel presentations and 5 minutes for posters) for several important reasons, regardless of their participation format.

  1. For Quality Assurance: We utilize customized AI tools to assess the presentation’s quality, verify its duration, and detect potential issues to ensure it meets session time requirements and aligns with language standards.
  2. Backup for Last-Minute Presenter Changes: We don’t post or share presentation files publicly. Instead, the submitted recordings serve as a backup in case of last-minute issues, such as travel disruptions or internet connectivity problems during the session. This ensures the session runs smoothly without delays caused by unexpected presenter challenges.
  3. Pre-Loaded Presentation Files on Session Computers: Even if you plan to present live onsite or online, we request your presentation files to ensure optimal session management. Uploaded files will be pre-arranged and ready when presenters arrive at their sessions. This helps prevent unexpected delays caused by locating presenters, collecting files on-site, or handling corrupted files. 
  4. Can I Update My Presentation After Submission? Yes, presenters who wish to make updates or correct slides can re-upload their presentation directly through the submission system (until October 10). For any last-minute changes right before the session, please bring your updated presentation on a USB memory stick.

 

Full Paper Peer-Reviewing Process:

The peer-reviewing process for full papers is essential to ensure the highest scientific quality of the papers accepted for publication.

  • Review Process: Each submission will be evaluated by at least two independent reviewers with expertise in the specific research field. The reviewers’ feedback will help authors improve the technical content, structure, and language of their paper.
  • Quality Assurance: Reviewers and track chairs are responsible for maintaining scientific rigor and ensuring that accepted papers meet high academic standards.

Originality Requirements:
Authors must ensure that their submission presents original, unpublished work, except for minor excerpts from other works (e.g., pre-published illustrations, tables, or text quotations) that have been properly cited. Any copyrighted material included must have appropriate permissions from the rights holder.

Important Note:
Participant registration for the conference does not guarantee paper publication. All submissions undergo a thorough peer-review process. Registration covers participation in the conference program, access to scientific sessions, optional social events, and access to the digital conference proceedings.

ASDM HUB Editorial Process

ASDM HUB follows a rigorous peer-review process for both abstract submissions and full paper proposals. Each submission is reviewed by two to three independent reviewers, after which the track chair(s) and the respective Volume Editor(s) make the final acceptance or rejection decision.

The Scientific Program Chair oversees the scientific quality of the entire publication process, including:

  • Final acceptance decisions.
  • Approval of Volume Editors.
  • Selection of research topics and appointment of new members to the Scientific Board.

Full Paper Editorial Process Schedule:

  • Abstract Submissions: Notification of decision (10 days on average)
  • Full Paper Submissions (Optional): Notification of decision (30 to 60 days)
  • Final Revised Manuscript Due: At least 45 days before the start of the conference.

This editorial process ensures a high standard of scientific rigor and timely communication with contributors throughout each stage of the review and publication cycle.

The Conference Proceedings will be published considerando Multi-volume Edited Books. All papers presented during the conference and accepted (following the review process for inclusion in the Conference Proceedings) with at least one registered author will also be indexed by SCOPUS, ISI Citation Index, SpringerLink Digital Library, and other indexing services. Additionally, all books published in the series will be submitted for consideration in Web of Science.

Instructions for Preparing Your Presentation:

Each presentation should last 15 minutes with 2 min for discussion. The session chairs may, at their discretion, extend the time allocated to each presenter. Please prepare and bring your presentation saved in Microsoft PowerPoint (.ppt or .pptx) format. Internet access will NOT be available in the meeting rooms. Check in at the session room preferably 30–45 minutes before your session to submit/upload your files and preview your presentation. If checking in on the day of your session, please arrive at least 4 hours prior to the start of the session (note: this refers to the session start time, not your specific presentation time).

Each session room will be equipped with a laptop PC and a projection system. Session chairs and the support team will be available to assist you with uploading your files and provide the opportunity to preview and/or edit your presentation as needed. Ensure you bring a backup copy of your presentation to the meeting. Please note that the Scientific Program may be subject to change due to speaker attendance or other adjustments.

Requirements for making posters:

All presenters, whether giving a verbal presentation or a poster presentation, are invited to prepare full papers for the Conference Proceedings (optional). Posters often serve to present late-breaking scientific news and works in progress, and they will be promptly peer-reviewed upon submission. To submit your poster, please log in to the Conference Submission System.

Posters will be mounted on poster boards (one poster per board) using tacks provided on-site. Board Dimensions: 3 feet (height) x 4 feet (width) OR 90 cm x 120 cm. Presenters may mount multiple individual sheets of paper, larger posters, pictures, or any other printed materials on the board. Please note that any equipment required for a demonstration is the responsibility of the author.

The poster should include the title, author(s), affiliation(s), and a description of the research. Highlight the major elements covered in the abstract. Ensure that the lettering is neatly done and large enough to be read from a distance. By following these guidelines, your poster will effectively communicate your research to conference attendees and foster meaningful academic discussions.

Note: The inclusion of extended poster abstracts in the Conference Proceedings is contingent upon the registration of at least one author per poster. A different author must be registered for each poster presentation.

Submission Types:

  1. Parallel Presentations

An abstract of approximately 500 words should be submitted through the ASDM HUB submission website. The abstract should include: A statement of the objective and significance of the proposed presentation, a description of methods used in the research and a discussion of results. Authors must indicate to which Program Board their submission should be sent for review. In some cases, when submitting abstracts for parallel presentations, authors should consider whether their material would be more effectively presented in poster or demonstration sessions. All submitted abstracts will undergo a peer review process conducted by at least three independent reviewers from the International Program Boards. All submissions must be completed through the ASDM HUB submission website.

  1. Poster/Demonstration Sessions

This session is specifically designed to accommodate the presentation of late-breaking scientific and professional news, work in progress, or research that is more effectively presented through demonstration or written format rather than an oral presentation. It is also an option for authors who feel more comfortable presenting their work visually or interactively.

An abstract of 300 words should be submitted through the conference submission website. The abstract must capture the essence of the planned presentation. Any equipment required for the demonstration is the responsibility of the author. All submitted poster abstracts will be reviewed by at least three independent reviewers from the International Program Boards. To provide more opportunities for participants to present at the conference, each accepted poster demonstration must have a different registered participant. However, co-authors may appear on multiple posters.

  1. Special Interest Groups (SIG)

The objective of these sessions is to bring together conference participants to discuss a topic of common interest. A 500-word abstract should be submitted through the conference submission website. The abstract must include the objective and significance of the session, potential participants or how participants will be selected, the session format and the type of interaction planned and the anticipated duration of the session (should not exceed 2 hours unless divided into Part I and Part II).

If you are submitting to a specific SIG, please include the session title and the name of the session chair. Each participant in a SIG session must submit an abstract to receive a unique system ID number.

  1. Tutorials

Tutorials provide an opportunity for participants to engage in an in-depth exploration of a specific topic related to the conference themes. A 300-word abstract should be submitted through the ASDM HUB Submission System. The abstract should include objective of the tutorial, content and learning goals, target audience (e.g., students, professionals, researchers), a bio-sketch of the presenter(s) highlighting relevant expertise, Audio/Visual (A/V) requirements for the session.

Indicate whether the proposed tutorial is intended to be a half-day or full-day session. To submit your abstract, you must sign up or log in to the ASDM HUB Conference Submission System.

Note: Tutorials play a key role in enhancing the participants’ knowledge and skills through hands-on learning experiences and expert guidance. For this reason, these tutorials will provide credits for the selection process for enrollment in the graduate programs that the UCJK will offer on Applied Neutrosophy.
